Queensland Masters Athletics Association ("QMA", "we", "our", "us") is committed to protecting the privacy of our members, volunteers, supporters, and visitors. We understand the importance of handling personal information responsibly and comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains how we collect, use, store, and disclose personal information in connection with our activities.
1. What personal information we collect
We may collect personal information that is reasonably necessary for our operations, including:
- contact details such as name, address, phone number, and email
- date of birth and gender, which determine age group and eligibility
- membership details and registration information
- competition results, performance data, and participation history
- records of payments made for membership fees, event entries, or uniform orders
- emergency contact details
- any other information you choose to provide when interacting with us
We do not collect or store credit card numbers. Payments are processed as one-off transactions at the time of purchase, and neither QMA nor our service providers retain your card details afterwards. We keep only a record that a payment was made.
We may also collect non-identifiable information such as website usage data and analytics to help improve our online services. See section 8 for detail.
2. How we collect personal information
We collect personal information in several ways, including:
- directly from you through membership forms, event registrations, emails, or conversations
- through our website, social media platforms, or online services
- from third-party systems used for registration, event timing, or communication
- from publicly available sources where appropriate
Where reasonable, we will collect information directly from you and inform you of the purpose of collection.
3. Why we collect personal information
We collect personal information to support our mission and activities, including:
- managing memberships, registrations, and participation
- organising competitions, events, and training opportunities
- communicating with members and stakeholders
- maintaining accurate records and statistics
- processing payments and issuing receipts
- meeting legal, regulatory, and insurance obligations
- improving our services and website experience
We only collect information that is necessary for these purposes, or for purposes you would reasonably expect.
4. How we use and disclose personal information
We may use or disclose personal information for the purposes outlined above, or where permitted by law. This may include sharing information with:
- event organisers, officials, and volunteers
- sporting bodies such as Athletics Australia or Queensland Athletics
- service providers assisting with administration, IT, or communications
- insurers and regulatory authorities when required
- media outlets or publications, but only in relation to competition results or achievements, and in accordance with reasonable expectations
We do not sell or trade personal information.
5. Information stored or accessed overseas
Some of the services we rely on are provided by organisations based outside Australia, which means information may be stored on or transmitted through servers in other countries. Specifically:
- Our website and content management system are hosted by Wix (Wix.com Ltd), with servers located in the United States and Israel. Information published on this website, and information submitted through it, is held on those servers.
- Membership and event registration is handled through Revolutionise Sport (revolutionise.com.au). Their privacy terms apply to information you provide directly to that platform.
- Google Analytics and web fonts. We use Google Analytics to understand how the site is used, and the fonts used for the site's appearance are loaded from Google's servers. Both mean your device's IP address, and information about your visit, are disclosed to Google and may be processed on servers outside Australia, including in the United States.
We take reasonable steps to use reputable providers, but we cannot control the privacy practices of overseas organisations. By using this website or our registration services, you acknowledge that information may be handled outside Australia.
6. Data security
We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification, or disclosure. This includes secure storage systems, restricted access, and appropriate data management practices.
If personal information is no longer required, we will take reasonable steps to securely destroy or de-identify it.
7. Access and correction
You may request access to the personal information we hold about you, or ask for corrections if the information is inaccurate, incomplete, or outdated. We will respond to requests within a reasonable timeframe, and may require verification of identity before releasing information.
8. Website and digital services
When you view our website, the server records details of your visit, such as your IP address, the date and time, which pages were viewed, the referring site, and your browser and operating system.
We use Google Analytics to understand how visitors find and use the site, so we can improve it. Google Analytics sets cookies on your device and collects information such as the pages you view, how long you spend on them, your approximate location, and your device and browser type. We use this only in aggregate, to see patterns across all visitors. We do not use it to identify individuals, and we do not use advertising or remarketing features.
If you would prefer not to be included, you can block or delete cookies through your browser settings, or install Google's Analytics opt-out browser add-on. The site works normally either way.
Links to external websites are provided for convenience. We are not responsible for the privacy practices of third-party sites.
9. Photography and media
We may capture photos or videos at events for promotional or archival purposes. If you prefer not to be included in media, please notify us in advance or speak with an event official. We will take reasonable steps to respect your preferences.
10. Complaints
If you believe we have mishandled your personal information, please contact us using the details below. Your complaint will be referred to the QMA Management Committee, which will review the matter and respond to you.
